The Glenferrie Traders Association is pleased to present our Glenferrie Festival for 2020.


The Glenferrie Festival is our largest event on our promotional calendar with an anticipated crowd of 90,000 people in 2020


The Glenferrie Traders Association management committee aim to make the Festival all about showing off the best of Glenferrie and to entice patrons both local, far and wide into the precinct and to return to the precinct again and again.


It is easy to confirm your participation and to keep up to date with all the information you need to know about the festival. With our dedicated festival website www.glenferriefestival.com.au we encourage you to jump on and register and become familiar with the site.


To make the Glenferrie Festival successful it is up to all of us to participate, we know there is a short lead time, but through our Marketing team who are here to assist we know we can have a fantastic and successful day.


The Glenferrie Festival will have a substantial advertising program in place that will advertise the Glenferrie Festival as a whole and your business as an individual.

GLENFERRIE FESTIVAL BASICS

1. Date & Times: 

  • Sunday 1st March 2020

  • Festival Times 11am to 5pm (If you participate you must trade these hours)

  • Bump In 7am to 10am 

  • Bump Out 5pm to 7pm


2. Costs:  

  • There are no charges for sites at the Glenferrie Festival for any trader who is a member of the Glenferrie Traders Association including businesses that are members but not in the Festival Precinct. 


3. Register that you are participating, at www.glenferriefestival.com.au. 

Due to the complexity and size of the Festival you need to register to confirm your participation.

  • Once you are registered you will have secured the area immediately outside your business, this includes road space up to 1m beyond the parking bay.


4. Security, Road Closures & Entry into the Event Area

  • The Glenferrie Festival is a Major Event and will operate in line with best practices set out by VIC Police, City of Boroondara and State and Federal Legislation in regards to crowded places, our aim is to keep patrons and traders safe. 

  • The Festival area will be locked down from 5am to 7pm

  • Glenferrie Road will be closed at Burwood Road and Barkers Road from 5am

  • Sidestreets leading into Glenferrie Road will also be closed from 5am. There will still be access to stores from the laneways, however you will not be able to enter via Glenferrie Road.

  • Entry in and out of the Festival Precinct will be strictly controlled.


5. Permits

  • The Glenferrie Traders Association will have a blanket permit from the City of Boroondara for the Festival regarding occupying council land. This permit requires us to notify the City of Boroondara of all participants and their activities, hence it is imperative that you register at www.glenferriefestival.com.au and let us know what you are doing. 


Those traders wishing to extend their Red Line - alcohol service area for the Festival are  required to complete a Red Line extension and Major Events Permit - Details to follow

  • Food Traders, selling, serving, holding preparing food outside of their normal premise must complete a food registration form - details below

WHAT'S HAPPENING ON THE DAY:


Rides & Amusements: 

  • Visit www.glenferriefestival.com.au for a full list of rides amusements & attractions for the day. 

  • Rides can be booked through the festival website: pre-booked ride wristbands are $20 for unlimited access and $25 at the event. A single ride ticket will also be available on the day for $5.  This is extremely good value compared to other events.


Entertainment & Attractions: 

  • The Glenferrie Festival will provide a full day of entertainment for all patrons. A full rundown of all entertainment will be published on 1st Feb 2020

  • Classic Car Show: Over 70 Classic cars will be on display 

  • Festival Stage: Acts to be Published 1st Feb 2020

  • Deconstructed Parade

N.B. attraction and entertainment may vary in times and locations. 

The entertainment comes to you. With most festivals you must go to the entertainment, and we all know as traders that can be difficult if your busy serving all the customers who will be coming to your business, so we will send the entertainment to you in the form of a deconstructed parade. Starting a 11.30am and every 20 minutes there will be entertainment that will pass by your business, this will run until 4.30pm expect to see: • Music • Dance • Community groups and more



*A full program of entertainment has been programmed starting from 11.30am to 4.30pm, details to come.  

TRADERS WHO ARE LOCATED ON GLENFERRIE ROAD IN THE FESTIVAL PRECINCT:


If you are a trader located on Glenferrie Road in the Festival Area, you will need to register to let us know you are participating (www.glenferriefestival.com.au). This will secure the area directly out front of your business, if you choose not to activate this area it may be allocated to another business or community group.


Once you have registered you will be allocated the area directly in front of your business. 

Your area will be as wide as your shopfront and can extend out 1 metre beyond the parking bay (if you would like to extend into your neighbours area as they are not participating you will need to let us know on the registration form or email festival@glenferrie.com.au).


As the crowds will be walking down the centre of the road, you can use the footpath as part of your area however you will need to leave 1.2 metres clear (1.2m from your business front) on the footpath for disability access, this area must always be clear, with no trip hazards. We highly recommend that if you are open during the event that you activate the area onto the road (this is where you will do 99% of your business). 

TRADERS LOCATED OUTSIDE THE FESTIVAL PRECINCT:


All traders from the Glenferrie Road Precinct are encouraged to participate. If you have a business that is not located on Glenferrie Road and would like to participate we would like to assist. There are plenty of prime positions that are available for you, and you will get priority placement into these positions over community groups or any other vendors. If you are interested in participating, we will assist to help you achieve this– please contact us ASAP to discuss,  to get the best positions available locked in.

OUTSIDE TRADERS:


The GTA does not seek out traders who are not part of the precinct or our membership! 


We encourage all traders to join in on the day, however for some reason not all our traders can or choose not to participate and this leaves some areas lacking in activity or may leave some categories missing altogether. To leave these areas empty with only community groups or seating can be detrimental to other businesses in that area. 


Members will be consulted about what outside businesses are allowed in to the festival if the need arises – All outside businesses who participate in the Glenferrie Festival will be charged to do so, this helps to fund the festival, each community group and outside trader will be issued with a permit / licence to enter the festival site, this will detail what they are allowed to do on the day and where they will be located. 

EQUIPMENT & SAFETY AT THE GLENFERRIE FESTIVAL


  • All electrical equipment including leads and power boards must be tested and tagged by a qualified technician prior to the Festival and will be inspected at the event.

  • Marquees bought into the Festival, must be sturdy and weighted down, equipment deemed unsafe will be removed. 

  • Worksafe and Council will be on site inspecting safety.

  • Total Fire Bans and Fire Danger: All vendors are responsible for obtaining appropriate permits and approvals from the relevant authority if required. Metropolitan Fire Brigade (MFB) Permits must be available to show the Safety Officer on the day, if required.

 

Food & Alcohol

Food Registration

  • Selling, serving, holding preparing food outside of your normal premis you must complete a registration form at below. This form needs to be completed by Monday 3rd Feb 2020

  • Read and Comply with the Victorian Department of Health Temporary and Mobile and Food Premises Class 2 booklet. 

  • You will also be required to confirm on the Glenferrie Festival Food Registration Form that you have read and understood this document

Red line extension

  • If you would like to serve Alcohol outside of your normal Red Line you will need contact leonie@creativecommunity.net.au

  • Once you have discussed with us you desire to extend your Red Line you can then fill out the “Major Events Application Form” This is a PDF form and needs to be completed and sent back to Leonie no later than Monday 20th Jan 2020. All applications for Red Line extension will be submitted together.

 

 Equipment Hire 

  • Equipment Hire can sometimes be quite expensive, we have negotiated with suppliers on your behalf to try and get some of the best deals we can. 

  • You will be able to hire marquees, fencing, tables etc. in one easy form  

  • All equipment hired through our service will be delivered to site - Marquees etc will be set up and pulled down. All other equipment will be collected from 5pm 

  • Equipment Hire Form is available at www.glenferriefestival.com.au  

  • All Equipment must be hired by 10th Feb 2020

  • Power is not supplied to businesses who operate directly in front of their businesses, it can it be purchased through the hire shop.

Trader Offers

We will help you advertise what you are doing at the festival, be it a special meal deal, a % off stock or you may be doing something i.e. cooking demo's, giveaways. Remember for fashion and home it is the end of the season.
Send us your offer, with a picture (a link is also ok) and we will post it on our website, Facebook, Instagram and put it on our event radio.
We know trading is tough at the moment, take advantage of 90,000 people in front of your business

WAR ON WASTE

 The Glenferrie Traders Association aim to minimise our environmental impact by avoiding waste, we recommend recycled materials and packaging that can be recycled.

We encourage you to minimise packaging or provide packaging which is reusable or recyclable. Biodegradable packaging is preferred.


Plastic bags, plastic straws, polystyrene and balloons are prohibited. 

Please try not to hand out flyers, engage with the festival patrons and collect relevant information / emails so that you can engage with patrons going forward.


On exit your site must be clean of all rubbish, i.e. please take all boxes, any cooking oil and any other rubbish (Bin located on the street are for patrons only). Any trader / Stall holder who does not remove rubbish will be charged $750 for its removal. Any site that has a spill hazards that are not satisfactorily cleaned will be charged $750 for a 3rd party professional cleaning service.
